IT Equipment, Hardware & Managed Services - Request for Proposal

The El Dorado County Fire Protection District (“District”) is accepting proposals from qualified firms (“Proposers”) for IT equipment, hardware, and managed IT services. The intent of the District is to select qualified proposers who offer the best overall value to the District.

The RFP has two (2) parts. Proposers may respond to Part I, Part II, or both, and the District may award the two parts separately:

• Part I: IT Equipment & Hardware. Desktops, laptops, docking stations, monitors, peripherals, and migration labor.
• Part II: Managed IT Services. Ongoing IT management, cybersecurity, cloud migration, and a walled enterprise AI environment.

The District is an independent California special district providing fire suppression, emergency medical services, and paramedic ambulance transport across El Dorado County. In 2026 the District annexed the former Diamond Springs-El Dorado Fire Protection District, whose IT environment is included in the scope of this RFP.

Proposals are due by Friday, November 13, 2026 at 5:00 p.m. (Pacific Time)

• Written questions due: Wednesday, October 28, 2026, 5:00 p.m.

• Proposals due: Friday, November 13, 2026, 5:00 p.m.

Important Information for Proposers

• Single point of contact. All questions, Non-Disclosure Agreement requests, and proposal submissions must be sent to procurement@eldofire.com. Please do not contact other District personnel about this RFP. Only written answers issued by addendum are official.
• Pre-proposal conference. To receive the meeting link, email procurement@eldofire.com.
• Confidential Appendix A-1. The detailed IT environment baseline is available to prospective proposers after they sign the District’s Non-Disclosure Agreement. Email procurement@eldofire.com to request it.
• Addenda. Addenda will be posted on this page. To receive addenda by email as well, notify procurement@eldofire.com of your intent to propose. Proposers must acknowledge all addenda in their cover letter.
• Pricing. Pricing must be submitted on the Exhibit A (Part I) and Exhibit B (Part II) forms included in the RFP.
